The Basics of Business Writing

Internet entrepreneurs hardly have any experience with writing. But, in this information-driven age, it is important to garner all the skills and knowledge required for business writing. Business writing includes everything from letters to memos, proposals, promotional copies, presentations and a wide range of other entrepreneurial documents. Lack of writing skills can sometimes prove to be a major handicap with each passing year. Practice is the key to success. But it won’t harm you to keep a few things in mind in order to polish your writing skills.

It is important to remember that business-related documents require complete concision. Only concise, to the point matter is going to spell out your message loud and clear to the audience. Cut down on all the flowery language and use your words carefully and sparingly. Long, meandering sentences should be strictly avoided.

Another thing to be avoided here is business jargon. Terms like “strategic synergies” hardly make sense and sound ridiculous. Therefore, it is better to use words like “opportunities to work together” that are meaningful. Make use of plain English that is understood by all so that your document can retain attention.

You should always proofread your document immediately after you finish writing. Typos can be really embarrassing in an, otherwise, fine document. Give yourself enough time to check and re check your work before you go ahead and submit it. Also, read your work carefully and make sure everything is written in the way you want to say it, before the document reaches the audience. Always pay attention to the names, job titles and genders before you submit your work. It is considered better to cross check all these minute details before you hand in your document. If you are still unsure about the gender, you can make use of “they” and “their” for singular pronouns in business writing.

A good idea would be to save templates for everything. Whether it is a good email or a memo, you think there is the remotest chance that you would need it again, save it. Only remember to edit before using them. All specific information like names and companies should be edited before sending the same template.

Your writing should be kept professional. At the same time, you needn’t be too formal. Formal language often ends up obscuring your document, rather than revealing information. However, keep in mind that informal language does not mean that you should be unprofessional.

Business writing and communication essentially are meant to achieve a particular purpose. This means they are intended for the reader to do something. Therefore, a good option would be to include call to action. Your document should convince your reader to do something right away.

If writing skills aren’t your forte, give it up. You can always hire someone who excels in writing or writing training. There are many freelancers who can write your training manuals, corporate newsletters, wiki entries, blog posts and just about anything. This will also allow you to concentrate on all the other aspects of your business.
